How to Import Electrical Components from China: A Practical Guide for Distributors

Thousands of distributors import electrical components from China profitably — and some get burned. The difference is almost never the product; it is the process. This guide covers the workflow we recommend to our own customers.
Step 1: Qualify the Supplier Before the Sample
Before ordering samples, verify three things:
- What exactly are you? A real factory, an authorized distributor, or a trading company? All three can be excellent — the failure mode is a supplier who lies about it. A factory audit or video tour settles this in 30 minutes.
- Certificates that match the product. Ask for the CE certificate and IEC 60947-2 type test report for the exact model you will buy — not just the brand name. Check that the certificate number and model match.
- Export track record. A supplier shipping regularly to the EU or Middle East already understands documentation, marking and packaging requirements.
Step 2: Sample Properly
- Order production samples (not hand-picked “golden samples”) — insist they come from current production stock.
- Test the sample in your real application, at your real load.
- Keep the approved sample as your reference standard — it is your evidence if a later shipment differs.
Step 3: Agree on Specifications in Writing
The proforma invoice should state: model, exact rating, quantity, tolerances, packaging, marking (brand/logo), certificate requirements, inspection standard, lead time and warranty terms. Vague orders produce vague disputes.
Step 4: Use Independent Inspection
For bulk orders, a pre-shipment inspection (AQL sampling) costs a few hundred dollars and prevents most quality disputes. We provide inspection photos and reports for every order — ask your supplier to do the same.
Step 5: Choose Shipping Terms You Understand

For first orders, FOB or CIF keeps things simple. DDP is convenient but usually costs more.
Step 6: Documents You Must Receive
Commercial invoice, packing list, bill of lading (or airway bill), certificate of origin (if your country offers tariff preferences) and the compliance certificates (CE/type test). In the Middle East, some countries additionally require SASO/ESMA-style conformity documents — confirm with your customs broker before shipping.
Step 7: Protect Your Payments
T/T with 30% deposit and 70% before shipment is standard. For larger orders, L/C at sight is safer. Never pay to a personal account; always to the company’s account named in the contract.
